Challenge
A specialized professional learning initiative within a North American university delivered special programmes for participants organized into distinct cohorts. Each programme combined scheduled cohort activity with practical learning labs, guided exercises, reflection, and review.
Programme information, learning activity, and fee collection were spread across separate tools and documents. Coordinators needed a dependable way to organize programmes and cohorts, collect the applicable fees, and follow payment status, while facilitators needed a structured environment in which participants could complete labs and retain evidence of their work.
The initiative wanted the responsibilities to remain clear: Batoi Flex would organize the programmes, cohorts, and related fees; an integrated payment gateway would process online payments; and Batoi Platform would provide the learning-lab experience.
Approach
The initiative used Batoi Flex to organize its special programmes and participating cohorts. Programme teams could maintain the programme context, group participants into cohorts, coordinate schedules and facilitators, keep cohort communication connected to the relevant programme, and assign the applicable programme or cohort fees.
A payment gateway integration enabled participants to pay those fees online. Payment confirmations and status were returned to the relevant programme and cohort context in Batoi Flex, giving the programme team a clearer view of collection.
Batoi Platform Learn provided the practical learning environment. Participants followed structured labs with instructions, exercises, assessments, reflection, and retained learning evidence. Facilitators could guide participants through the lab sequence and review progress within the learning context.
The implementation established a simple division of responsibility:
- Batoi Flex managed each special programme, its cohorts, and the applicable fees.
- The payment gateway integration supported online programme and cohort fee collection.
- Batoi Platform Learn delivered the guided labs completed by cohort participants.
- Programme coordinators and facilitators remained responsible for schedules, fees, participant support, review, and programme decisions.
The initiative introduced the model with an initial programme, prepared its cohort and fee structure, validated the payment flow, configured the associated learning labs, oriented facilitators, and then reused the pattern for subsequent cohorts.
