Batoi Flex is being enhanced to support electronic document signing as part of the normal customer and project workflow. Signing as Part of the Business Workflow

In many systems, signing is treated as a separate file transaction. A document is sent out, signed elsewhere, downloaded manually, and then uploaded again to a CRM, project folder, or customer record.

Batoi Flex takes a more connected approach. A document can be linked to a customer, company, contact, project, deal, or operational record. Once the signing workflow is complete, the signed document and audit trail can be stored back against the same business record.

What the Signing Workflow Supports

The Batoi Flex document signing workflow is designed around five simple stages:

  1. Create or Upload Document: Users can create a document from a business workflow or upload an existing document for signing.
  2. Add Signers: One or more signers, approvers, reviewers, or carbon-copy recipients can be added.
  3. Place Signature Fields: Signature, initials, date, text, and checkbox fields can be placed in the document.
  4. Send and Track: The document can be sent for signing, and users can track completion status.
  5. Store Signed Document: The signed document is stored securely and linked back to the relevant customer, company, project, or operational record.

Native Flex Signing

Native signing is the signing flow managed directly within Batoi Flex.

It can support:

Native signing is useful for lightweight acknowledgments, internal approvals, routine customer confirmations, and simple business documents where a provider-managed signing envelope may not be required.

Provider-Based Signing

Batoi Flex is also designed to support provider-based signing through external e-signature platforms such as DocuSign.

Provider-based signing is useful when an organization needs stronger external assurance, provider-managed recipient experience, provider audit trail, signed PDF retrieval, webhook status updates, and stronger evidence for contracts or higher-value approvals.

In this model, Batoi Flex handles the business workflow, record linkage, status visibility, signed document storage, and audit continuity. The provider manages the external signing ceremony.

Native and Provider Signing Together

Different documents need different levels of assurance.

A routine acknowledgment may be handled through native Flex signing. A customer contract, supplier agreement, or regulated document may require provider-based signing.

Batoi Flex is designed to support both approaches, allowing organizations to choose the right signing method for each document type.

Multi-Signer and Multi-Location Signing
