Managing a Sales Enquiry

Manage your Sales Enquiries effectively with Batoi by adding single or multiple Enquiries or by using the import tool. Export and filter your Enquiry details.

Sales represents any Person or Organization that you might have the potential to do business with.

To manage an 'Enquiry', follow the steps as mentioned below:

Currently, both Tenant Admin and Organizational User(s) can manage Enquiry for an Organization.

In the menu bar, click on the 'Sidebar Menu' icon. Click on the 'Manage Sales' menu and then click on the 'Enquiry' sub menu as shown in Figure 1.

Upon doing so, the list page for 'Enquiry' containing the details of all the 'Enquiries' those have been currently added for your Organization will be displayed as shown in Figure 2. Each step shown in Figure 2 is explained in the below table.

2 Download as CSV Click to download the list of enquiries
3 Pipeline View Click to observe all the enquiries in a pipeline view
4 List View By default, all the enquiries are appearing in a list view
5 Filter Click to apply a filter on the enquiries
6 Enquiry Title The title of the added enquiry
7 Enquiry Code The generated enquiry code
8 Enquiry Category The category selected for the enquiry while adding
9 Timeline and Status The timeline and status of the added enquiry
10 View Enquiry Click to view the enquiry details

To manually add one 'Enquiry', click on the '+' button as shown in Figure 3. Then click on 'Add Enquiry' link from the fly-out menu.

Upon doing so, the 'Select Organizational Unit' pop-up window with two buttons 'Proceed' and 'Cancel' will appear with a drop-down list to select an Organizational Unit for which the Enquiry is being added as shown in Figure 4.

After selecting the Organizational Unit, the 'Add Enquiry' page will appear.

To add multiple Enquiries, click on the '+' button. Then click on 'Add Multiple Enquiry' link from the fly-out menu as shown in Figure 5.

To import 'Enquiries' from Spreadsheet, click on 'Import Enquiry from Spreadsheet' link from the fly-out menu in the list page of 'Enquiry' as shown in Figure 6.

Upon doing so, the 'Import Enquiry' pop-up window will appear as shown in Figure 7. Click on the 'Download Sample File' link to download the sample '.xlsx' file to your local system.

In the sample file, the first row should be the column headers. The next three rows from the file contain the sample data.

Once you have the necessary data in the Spreadsheet, you can choose the file by clicking the 'Choose File' button and import the file by clicking on the 'Import' button as shown in Figure 7.

Download List of Enquiries

To download the list of 'Enquiries' added for your Organization, click on the 'Download' button as shown in Figure 8.

Upon doing so, the 'Download Enquiry to Excel Sheet' pop-up window will appear with two buttons 'Proceed' and 'Cancel' as shown in Figure 9 in which a list of fields related to Enquiry will be available and there will be a checkbox against each field name. Check the fields which you want to be downloaded and then click on the 'Proceed' button to download the list of Enquiries otherwise click on the 'Cancel' button.

Pipeline View of Enquiries

To apply a pipeline view to the complete list of Enquiries added for your Organization, click on the 'Pipeline View' button as shown in Figure 10.

Upon doing so, all the Enquiries will appear according to the Enquiry status as shown in Figure 11. Each step shown in Figure 11 is explained in the below table.

1 Enquiry Status (Enquiry Count) The enquiries with the said status will appear over here
2 Left Side Arrow Click to adjust the page
3 Right Side Arrow Click to adjust the page in order to view more status wise listed enquiries
4 Enquiry Name Click to view the enquiry
5 Enquiry Code The code generated for the enquiry
6 Timeline The timeline of the added enquiry
7 Organizational Unit -> Customer Organization Name The name of the organizational unit and the customer organization for which the enquiry is added. Click on the organizational unit name to either go to the website of the organizational unit or to filter the enquiries by this organizational unit
8 Enquiry Manager By mouse hovering on the icon, you can view the name of the enquiry manager selected for the enquiry
9 Organizational Users By mouse hovering on the icons, you can view the names of the organizational users selected for the enquiry

To edit an Enquiry from the Pipeline View page, click on the '3 Dots Menu'. Then click on the 'Edit' button as shown in Figure 12.

Upon doing so, you will be redirected to the Edit Enquiry page, where you can edit the information related to the Enquiry.

To view an Enquiry from the Pipeline View page, click on the '3 Dots Menu'. Then click on the 'View' button as shown in Figure 13.

Upon doing so, you will be redirected to the View Enquiry page.

To return to the list page of Enquiries, click on the 'List View' button as shown in Figure 14.

Filter Enquiry

To apply a filter to view selected records of Enquiries, click on the 'Filter' button as shown in Figure 15.

Then enter or select values in the respective fields in the 'Filter Enquiry' pop-up window and click on the 'Filter' button as shown in Figure 16.

View Enquiry

To view the details of an 'Enquiry', click on the 'View Enquiry' button as appearing against each Enquiry in the list page of Enquiry as shown in Figure 17.
