Managing Projects

A Project is a planned work that is targeted to be finished over a period of time and is intended to achieve a particular purpose.

To manage Projects, follow the steps as mentioned below:

Currently, both Tenant Admin and Organizational User(s) can manage Projects for an Organization.

In the menu bar, click on the 'Sidebar Menu' icon. Click on the 'Manage Projects' menu and then click on the 'Projects' sub menu as shown in Figure 1.

Upon doing so, the list page for 'Projects' containing the details of all the 'Projects' that have been currently added for your Organization will be displayed as shown in Figure 2.

The color of the Target Date of a Project as shown in Figure 2 in steps, reflects the status of the Project as described in the below table.

Sl. No. Name Description
1 Yet to Start The project has not started yet.
2 Completed (On Schedule) When the status of the project is completed and the target date appears in teal color, indicating that the project is completed on schedule.
3 Closed (Delayed) When the closed date is greater than the target date, a strikethrough appears on the target date in red indicating that the project was not completed within the timeline. The closed date then appears in green.
4 In Progress (On Schedule) When the target date is greater than the current date, the target date appears in teal color, indicating that the project is on schedule.
5 Closed (On Schedule) When the closed date is equal to or less than target date, a strikethrough appears on the target date in teal color and the closed date appears in green indicating that the project was completed within the timeline.
6 In Progress (Delayed) When the target date is less than the current date, the target date appears in red color, indicating that the project is off schedule.

In the list page of 'Projects', you can see a set of buttons in the toolbar as shown in Figure 3. Each step shown in Figure 3 is explained in the below table.

Sl. No. Name Description
1 Add Project Click to add a single project, multiple projects or to import projects from a spreadsheet
2 Download as CSV Click to download the list of projects
3 Pipeline View Click to observe all the projects in a pipeline view
4 List View By default, all the projects are appearing in a list view
5 Filter Click to apply a filter on the projects

To manually add one 'Project', click on the '+' button as shown in Figure 4. Then click on 'Add a Project' link from the fly-out menu.

Upon doing so, a pop-up window 'Select Organizational Unit' with two buttons 'Proceed' and 'Cancel' will appear with a drop-down list to select an Organizational Unit for which the Project is being added as shown in Figure 5.

After selecting the Organizational Unit, the 'Add Project' page will appear.

To add multiple Projects, click on the '+' button. Then click on 'Add Multiple Projects' link from the fly-out menu as shown in Figure 6.

To import 'Projects' from Spreadsheet, click on 'Import Projects from Spreadsheet' link from the fly-out menu in the list page of 'Projects' as shown in Figure 7.

Upon doing so, the 'Import Projects' pop-up window will appear as shown in Figure 8. Click on the 'Download Sample File' link to download the sample '.xlsx' file to your local system.

In the sample file, the first row should be the column headers. The next three rows from the file contain the sample data.

Once you have the necessary data in the Spreadsheet, you can choose the file by clicking the 'Choose File' button and import the file by clicking on the 'Import' button as shown in Figure 8.

Download List of Projects

To download the complete list of 'Projects' added for your Organization, click on the 'Download' button as shown in Figure 9.

Upon doing so, the 'Download Projects to Excel Sheet' pop-up window will appear with two buttons 'Proceed' and 'Cancel' as shown in Figure 10 in which a list of fields related to Project will be available and there will be a checkbox against each field name. Check the fields which you want to be downloaded and then click on the 'Proceed' button to download the list of Projects otherwise click on the 'Cancel' button.

Pipeline View of Projects

To apply a pipeline view to the complete list of Projects added for your Organization, click on the 'Pipeline View' button as shown in Figure 11.

Upon doing so, all the Projects will appear according to the project status as shown in Figure 12. Each step shown in Figure 12 is explained in the below table.

1 Yet to Start (Project Count) The projects with the status as 'Yet to Start' will appear over here
2 In Progress (Project Count) The projects with the status as 'In Progress' will appear over here
3 Completed (Project Count) The projects with the status as 'Completed' will appear over here
4 Closed (Project Count) The projects with the status as 'Closed' will appear over here
5 Left Side Arrow Click to adjust the page
6 Right Side Arrow Click to adjust the page in order to view more status wise listed projects
7 Project Name Click to view the project
8 Project Code The code generated for the project
9 Timeline The timeline of the added project
10 Organizational Unit The name of the organizational unit for which the project is added. Click either to go to the website of the organizational unit or to filter the projects by this organizational unit
11 Project Manager By mouse hovering on the icon, you can view the name of the project manager selected for the project
12 Organizational Users By mouse hovering on the icons, you can view the names of the organizational users selected for the project

To edit a Project from the Pipeline View page, click on the '3 Dots Menu'. Then click on the 'Edit' button as shown in Figure 13.

Upon doing so, you will be redirected to the Edit Project page, where you can edit the information related to the Project.

To view a Project from the Pipeline View page, click on the '3 Dots Menu'. Then click on the 'View' button as shown in Figure 14.

Upon doing so, you will be redirected to the View Project page.

To return to the list page of Projects, click on the 'List View' button as shown in Figure 15.

Filter Project

To apply a filter to view the selected records of Projects, click on the 'Filter' button as shown in Figure 16.

Then enter or select values in the respective fields appearing in the 'Filter Project' pop-up window and click on the 'Filter' button as shown in Figure 17.

View Project

To view the details of a 'Project', click on the 'View Project' button as appearing against each Project in the list page of Projects as shown in Figure 18.
